Website 20
Brand, colours and fonts
Logo text or image, main colour, and a “zing” accent picked from the colour wheel. Fonts load without the flash of the wrong typeface.
Friendly page addresses
/projects/name, /team/name, /work, /areas, /visualise and /app instead of .php links. Old links redirect.
Service pages
A page per service written for local search, drafted by Gemini, with FAQs and structured data for Google.
Pages
Your own pages (privacy notice, terms, FAQs…) at their own address, from templates or blank.
Site features (plans)
Superadmins choose which features each site has, by plan (Starter, Pro, Crew) or one by one.
Custom section
Your own HTML on the homepage, wherever you want it, made safe automatically, with a ready-made example to start from.
Design styles
Bold or Classic per site: the overall look of headings, corners, buttons and labels.
Font picker
Pick the headings, body text and labels fonts from 23, all hosted on your own site.
Public features page
This list on your website at /features, with what’s new; choose what shows and reword it, per site.
Menus
Edit the top menu and footer links: order, names, your pages, service pages and any link.
Recent work
Project pages with a photo gallery, map position (set from photo GPS, or corrected on a map), write-up and key facts.
AI photo enhance
Fix the light, straighten, tidy up clutter, brighten the sky, or ask for something specific (“remove the dog”). You see a before and after first, and the original is kept.
AI write-ups
Drafts a project’s title, intro, write-up and photo captions from its photos.
Areas we cover
A map with one circle per area, or one big circle round them all, with markers shown or hidden.
About & team, YouTube band, footer
About and team section, a slim “As seen on YouTube” band, social icons, and a footer banner with its own link.
App download page
/app sends iPhones to the App Store and Android phones to Google Play; computers see both buttons and a QR code.
Under construction
Visitors see a holding page; while you’re signed in, you still see the real site.
404 page and monitor
A branded “page not found” page, a log of missed addresses, and redirects to fix old links.
Search engines and AI
Sitemap, structured data and an llms.txt summary kept up to date automatically.
Fast, safe images
Every upload is checked, turned the right way up, stripped of GPS data, resized and compressed, with smaller copies for phones.
Garden visualiser 5
AI redesign from one photo
Visitors upload a photo, pick what they’d like and which materials, and see their space redesigned in materials you fit.
Lead capture
The design is blurred until they leave name, email, phone and area; each becomes a job with the materials priced in.
Guide price options
Tease a blurred price then show it; tease it and give the real price at the site visit or in your quote; or no price, teasing the design guide instead.
Fitted prices and categories
Each material has a cost and a fitted price, grouped into categories for visitors to choose from.
Editable wording
Heading, intro, button and the three steps can all be your own words.
Team & crew 6
Worker landing pages
Each worker can have their own page with a full-screen photo, bio, socials, their work and an enquiry form. Leads are tagged to them.
WhatsApp chat bubble
A green WhatsApp button on a worker’s page, with a message ready to send. Taps are counted.
Crew stats card
A just-for-fun card: brew, sugar, tools of choice, hobbies and so on.
Private pages
Keep a worker’s page out of search engines, for sharing by link or QR only.
QR codes and print cards
A QR code for each worker’s page (SVG for print, PNG), and printable cards.
Worker logins
Invite a worker from their page, or link an existing login, so they can see their tasks and chat.
Jobs, quotes & calendar 3
Jobs and quotes
Clients, labour, materials and costs, markup and VAT, and a PDF quote in the job’s brand.
Calendar and timeline
Month, crew and timeline views. Drag to book crew and move jobs, their bookings and phases.
Website leads
Enquiries from worker pages and the visualiser arrive as new jobs, flagged until opened.
Tasks & collaboration 6
Several workers per task
Tick everyone who’s on a task. It shows on each of their calendar rows.
Discussion on every task
Chat, and share photos and documents (PDF, Word, Excel, drawings). New messages appear without reloading.
Unread badges and emails
Unread counts in the menu and on each task, and an email to the people on it (at most one every 15 minutes per task).
Tasks without a job
Errands, yard work, pricing a quote: add a task on its own from the Tasks page, and move it into a job later if you like.
Ask Gemini
Ask Gemini for help right in a task’s discussion. Cheap by design: small context, short answers, photos only when you choose.
Staff see their own
Staff logins see only the tasks they’re on. Admins and Owners see everything.
Sites & brands 3
Several sites, one admin
Run Outside Matters and Extension Matters from the same install: separate look, content and domain; crew can work for both.
Sites per person
A superadmin chooses which sites each person can use; everyone else only sees their own sites’ jobs, tasks, workers and website.
Shared projects
A project can also show on another site; its home site stays its main address.
Admin & security 9
Several users with roles
Owner, Admin and Staff, each seeing only what they need.
Invitations
Invite by email; people choose their own username and password.
Site health
Scan, pen-test probes, attack and bot log with IP blocking, risk list and data inventory.
Two-factor sign-in
Authenticator-app codes and recovery codes, optional or required for everyone.
Strong passwords and lockouts
Checks against known leaked passwords, locks after repeated wrong attempts, signs out other sessions on a password change.
Notifications
Choose who gets each email (enquiries, visualiser leads, task messages, invitations) as To, CC or BCC.
Email settings
Send through Mailjet or another email service (or your hosting’s own mail), with a test button and a log of every email sent.
Image library
Reuse any photo already on the site in any image field or project gallery, searchable by where it’s used.
Save bar
A save bar on every settings page that warns about unsaved changes. Ctrl+S saves.
What’s new
-
30 October 2026
Visualiser status
- Website → Garden visualiser shows whether the visualiser is live, and if not, exactly what’s missing (switched on, in the site’s plan, a Gemini key, materials with a fitted price).
- Links to #visualiser (or #visualizer) on the homepage now scroll to the visualiser panel.
-
30 October 2026
Design styles and star ratings
- Logo & colours → Design style: Bold (big uppercase headings, cut corners) or Classic (elegant serif headings in normal case, square corners, plain buttons and labels, thin accent lines), per site. Choosing a style sets its fonts too.
- Bodoni Moda added to the heading fonts.
- Testimonial: up to three reviews shown side by side, and a star rating (e.g. 4.8 from 38 Google reviews) with a link to all your reviews, in the reviews section and, if you like, at the top of the homepage.
-
29 October 2026
Email settings and users in Export & import
- Export & import can now include a site’s email settings (method, SMTP / Mailjet server, username and password) and its users with who gets each email.
- The email password is never in the file as plain text: it moves within this install as it is, and to another install with a passphrase you choose when exporting.
- Imported people who already have a login keep it and just get the site; new people get a one-time password to change when they first sign in. Passwords and two-factor are never copied, and nobody arrives as a superadmin.
-
28 October 2026
Quotes in your brand
- Quote PDFs use the job’s brand colours (Logo & colours): the header band matches the site’s top bar, with its headings, table and total in the brand’s colours, always kept readable.
- The logo shows on quotes whatever its format (WebP logos used to be left off).
- Quote and job numbers start with each brand’s own prefix (Quote settings → Quote number prefix, or its initials) instead of HC.
-
28 October 2026
Stripe, PayPal and a price table
- Pricing & payments (superadmins): each plan’s monthly and yearly price (with “2 months free”-style presets), setup fee, free trial and what’s included; discount codes (% or £ off, for the first payment, some months or for ever, with plans, expiry and use limits); and connecting Stripe and PayPal.
- Customers subscribe by card (Stripe, with Apple and Google Pay) or PayPal on a secure payment page: email them the link from their subscription, or they choose “Pay now” at the end of the onboarding form, which now shows the prices with a monthly / yearly switch and takes a discount code.
- Payments, failed payments and cancellations come back automatically and update the subscription; cancel with Stripe or PayPal from the subscription.
- Each subscription can have its own price, setup fee, trial and discount. {{pricing}} in a custom section or HTML page shows the price table.
-
28 October 2026
Site features, one site at a time
- Site features is now a list of sites (searchable once there are many), each opening its own page of feature ticks and plan buttons. The list shows each site’s plan and flags any whose subscription is on a different plan.
- Sites, Site features, Subscriptions and Site health have their own SUPERADMIN section at the bottom of the menu.
-
28 October 2026
Your branding in the admin
- The admin is just called “Admin” in the menu and browser tab, instead of “Hedgehog Admin”.
- The login page shows the logo and name of the site whose address it’s opened on.
-
28 October 2026
Export & import
- Export & import (owners): download a site’s settings, website lists, projects with their photos, pages and redirects as one ZIP, with its images.
- Import a ZIP into the site being edited, here or on another install: see what’s in it first, choose the parts, and they replace what’s there. A copy of the site as it was is saved first, ready to import back.
- Customers, jobs, tasks, workers, logins, email settings and API keys never go in the file. Imported images go through the normal upload checks, and HTML is cleaned.
-
28 October 2026
Image library per site
- “Choose from library” only offers images from your own sites: ones used on them (settings, projects, services, materials, pages, workers) and ones uploaded while editing them. People with every site still see everything.
- Another site’s image can’t be picked or previewed, even by typing its address.
-
27 October 2026
Onboarding form and subscriptions
- An onboarding form at /get-started for new customers: their details, business, trade, web address, what they do and the plan they want. Only on sites given the new Onboarding form feature (Site features), which is off everywhere else.
- Admin → Subscriptions (superadmins): sign-ups with their status and your notes, turned into a subscription in one click; each customer’s plan, price, billing and next payment, with overdue ones flagged; record payments by hand.
- A subscription can be linked to the customer’s site and set its features to the plan.
-
27 October 2026
Site features (plans)
- Admin → Site features (superadmins): tick which features each site has, or apply the Starter, Pro or Crew plan with one click.
- A feature that’s off disappears from that site’s admin menu, pages and AI buttons, and from its website (its pages show “not found” and leave the sitemap). Nothing is deleted; tick it again and it’s all back.
-
27 October 2026
HTML pages
- Website → Pages: a page’s text can now be HTML, for your own design (cleaned of scripts and the like when saved, like the custom section).
- A ready-made Performance page to start from: real page-weight figures, what loads, how the site stays fast, and Google’s speed checks.
-
27 October 2026
Custom section
- Website → Custom section: paste your own HTML into the homepage, at the place you choose, with its own background colour and menu link.
- It uses the site’s colours and fonts, and anything unsafe (scripts, forms, event handlers, outside embeds other than YouTube and Vimeo) is removed when you save.
- “Load the example” starts you off with a full sales section: features, steps, a comparison, prices, questions and a closing banner.
-
27 October 2026
Font picker, public features page
- Logo & colours → Fonts: choose the headings, body text and labels fonts from 23, each shown in itself. All are hosted on your own site, and visitors only download the ones picked.
- A public features page at /features, with its own switch per site (General & contact → Features page). Add it to a menu under Website → Menus.
- Features & changes → Public page: tick which features and changes the public page shows, and reword them for visitors.
- Materials without a photo show a short texture strip instead of a big square; with neither, just the text.
-
27 October 2026
Superadmin and sites per person
- A new Superadmin level above Owner: every site, adding sites, Site health, and the install-wide settings (AI keys, two-factor rules, web address style).
- Users: tick which sites each person can use. They only see those sites’ jobs, enquiries, tasks, calendar, workers and website, and the site switcher only lists them.
- Owners manage the people on their own sites only, and can’t create superadmins.
- Existing owners became superadmins, so nobody lost access: make someone Owner to limit them to their own site(s).
-
27 October 2026
php2shell check
- Site health → Scan now checks whether the server’s PHP has the October 2026 php2shell fixes (CVE-2026-109618 and CVE-2026-109619), and says what to do if not.
-
27 October 2026
Pages and menus
- New Pages (Website): make your own pages at their own address, such as /privacy or /faqs, with text, sub-headings, bullets, bold and links, a photo, optional blocks (services, recent work, the quote banner), drafts and Google settings.
- Templates to start from, including a privacy notice filled in from what the site actually stores and who it shares data with.
- New Menus (Website): reorder, rename, remove and add items in the top menu and both footer columns: your pages, service pages, homepage sections, the visualiser or any link. Change the header button too.
- Published pages go in the sitemap and llms.txt; Site health spots a published privacy notice.
-
28 September 2026
Safer updates
- The admin now finishes its database update even when files are uploaded one at a time, so a half-uploaded update can’t leave pages failing.
- Fixed: Site health → Data stored could fail to open.
-
28 September 2026
Folders no longer listed
- Folders such as /assets/ now show the “page not found” page instead of a list of their files; the files themselves still load for the site.
- Site health’s probes check every public folder for listings.
-
28 September 2026
Hours on tasks
- Log hours worked on each task: who, which day, how long, and a note. Staff log their own; Admins can log for anyone.
- Totals per person and against the estimate; Admins also see the labour cost from each worker’s day rate.
- A task’s “h done” is now the total of its hours log (typed-in hours from before are kept as an opening entry). The hours are in the task’s ZIP download too.
-
28 September 2026
Needs-attention bar
- A bar at the top of the admin lists what needs attention: new enquiries, quotes sent 7+ days ago to follow up, unread task messages, overdue tasks, missed page addresses this week, file changes (owners) and new feature updates. Each links straight there; ✕ hides it until something changes.
-
27 September 2026
Sharper security checks
- Project, service and team pages refuse anything that isn’t a real page address before it reaches the database.
- Pen-test probes now tell your host’s firewall blocking an attack (good) apart from a page failing (a problem), and show what the site answered.
-
27 September 2026
Remember this device
- After entering a two-factor code you can tick “Remember this device”: that browser then only asks for your password for 7 days. New devices always ask for a code.
- See and forget your remembered devices on your Account page; a password change forgets them all. Owners can switch the option off for everyone on Users.
-
27 September 2026
App download moved
- The App download settings are now on General & contact, under their own heading, rather than a separate menu item.
-
27 September 2026
Site health and security
- New Site health page (owners): a scan of the server and setup, safe pen-test probes against the site, a log of attacks and bots, the risks worth acting on, and an inventory of the personal data the site keeps.
- Logs probes for weak spots, spam-bot form submissions, failed sign-ins, lockouts and bad form tokens, with the busiest addresses; block an address from the whole site in one click. Addresses are kept 30 days.
- File monitoring: new, changed or deleted code files (and anything that isn’t a photo in uploads/) are spotted within about an hour, logged and emailed to whoever gets Security alerts; accept your own uploads under Files.
- Hardening: browser security headers on every page, and code, build and notes files can no longer be opened from the web.
-
27 September 2026
Keep task history safe
- “⤓ Download ZIP” on every task with messages: the task’s details, its whole discussion (readable in any browser, with photos) and every shared file.
- A task with messages or files can’t be deleted until they’ve been downloaded (and downloaded again if anything new is posted). Deleting walks you through it.
- The same applies when removing a task in the job editor or deleting a whole job.
-
27 September 2026
Notifications
- New Notifications page (owners): choose who gets each email the site sends, as To, CC or BCC, per site.
- Covers enquiries from team pages, visualiser enquiries, task messages (the people on the task can be switched off) and invitations, plus any other addresses.
- “Save & send a test” sends a sample to exactly those people. Until you change anything, emails go where they did before.
-
27 September 2026
Custom “page not found” page and 404 monitor
- A proper “page not found” page in the site’s style for any missing address, with links to your services, recent work and main pages. Your own heading, text and photo under Page not found (404).
- Every missed address is logged in the admin (visits, when, and where the link came from), with a badge for new ones this week. Hacker probes are left out.
- Set “Redirect to” on a missed address to send visitors and Google to the right page (a permanent 301 redirect), e.g. after renaming a project.
-
27 September 2026
Image library
- “Choose from library” on every image field: pick a photo that’s already on the site instead of uploading it again.
- “Add from library” on project galleries adds several existing photos at once.
- The library shows where each image is used and can be searched by project, worker or service.
-
27 September 2026
Service pages for local search
- Each service can have its own page (/services/…) with a heading, intro, page text, FAQs, the areas you cover, related projects and a quote button.
- “✦ Write the page” drafts it with Gemini for local and long-tail searches, from your location, areas, materials and matching projects. Unknown facts are left in [brackets].
- Search extras: your own Google title and description, Service, FAQ and breadcrumb structured data, and the pages in the sitemap and llms.txt.
- Homepage service cards now show about 4 lines, with a “More about …” link when the service has a page.
-
27 September 2026
WhatsApp on team pages
- A WhatsApp chat bubble on a worker’s landing page, switched on per worker (Workers → their profile → On the website).
- Opens WhatsApp with a message to them ready to send; uses their WhatsApp number, or their phone. UK numbers are converted automatically.
- Taps on the bubble are counted and shown on their profile, since the chat itself happens in WhatsApp.
-
27 September 2026
Ask Gemini on tasks
- “✦ Ask Gemini” in every task’s discussion: your question and Gemini’s answer appear in the thread for everyone on the task.
- Kept cheap: Flash-Lite by default, only the task, its notes and the last 8 messages (trimmed) are sent, answers are short, “thinking” is off, and photos go only when you tick “with latest photo” (at low resolution).
- Each answer shows the tokens it used; a daily limit per person (20 by default) keeps costs predictable. Settings under AI assistant.
-
27 September 2026
Better emails, and deleting tasks
- Emails are now HTML in each site’s own colours, with a plain-text version for mail apps that want one (switch off on the Email page).
- Task emails carry the task itself: the new message and file names, the job, dates, status, who’s on it, site and notes, plus the last few messages.
- Enquiry, visualiser and invitation emails get a tidy details table and a button.
- Delete a task from its page or with the ✕ on the Tasks list. Staff can delete their own tasks that have no job.
-
27 September 2026
Email settings
- New Email page: send with the server’s own mail, an email service over SMTP, or Mailjet’s web API.
- Presets for Mailjet, Brevo, Mailgun, SendGrid, Postmark, Amazon SES, Microsoft 365, Google Workspace, Zoho and cPanel mailboxes.
- Choose the from name and address, per site. The password is stored encrypted.
- Send a test, see a log of recent emails, and fall back to the server’s mail if the service fails.
-
26 September 2026
Tasks without a job
- New task button on the Tasks page: for errands, yard work, pricing a quote, anything that isn’t a job.
- Edit a task’s name, dates, estimate and notes on its own page, move it into a job or out of one, or delete it (Admins).
- Staff can add their own tasks too; they’re put on them automatically.
- Tasks with no job show on the month and crew calendars.
-
26 September 2026
Tasks become team work
- A task can have several workers; it shows on each of their calendar rows.
- Every task has its own page with a discussion, and shared photos and documents.
- Unread badges in the menu and on tasks; an email to the people on a task (at most one every 15 minutes).
- Staff logins see only their own tasks.
- Link a login to a worker (from Users or from the worker’s page), or invite a worker straight from their page.
- Safety: a job’s tasks are only saved once its task editor has loaded, so a page error can’t wipe them.
-
26 September 2026
Photos and the admin
- AI photo enhance on project photos: light and colour, straighten, tidy up, brighter sky, or your own request. The original is kept.
- The save bar stays up on long edit pages, as a sticky Save button.
- Features & changes page (this one).
-
26 September 2026
Visualiser guide price
- New “Guide price” setting: show it on the page, give the real price at the site visit or in your quote, or no price.
- The blurred price is the hook for leaving details; phone and area are now required.
- With prices off, the design guide (materials) is the tease instead.
- Editable wording for the three steps.
-
25 September 2026
Sites, users and more
- Several sites from one admin (Extension Matters alongside Outside Matters).
- Several admin users with roles, two-factor sign-in, strong passwords, lockouts and email invitations.
- Social post slides, captions and MP4 reels from a project.
- App download page, footer banner, areas map circles, YouTube band, about & team section, footer social icons.
- Worker pages: full-screen hero, crew stats card, private (no search engines) option, QR codes and print cards.
- Friendly page addresses everywhere; zing accent colour; fonts load without flashing.
- Under-construction mode, map to correct project positions, starter materials price list.
-
24 September 2026
Garden visualiser
- Visitors redesign their garden from one photo, in your materials, and leave their details to see it.
- Fitted prices per material; visualiser leads arrive as jobs with materials priced in.
- Worker landing-page enquiries become tagged leads.
- Sitemap and llms.txt; faster images with phone-sized copies.
-
23 September 2026
Jobs, quotes and calendar
- Jobs with labour, materials, markup and VAT, and PDF quotes.
- Calendar with month, crew and timeline views; tasks and phases per job.
- Project pages and the image upload pipeline.
